Episode Summary
In this episode, I explore a pattern I see across many law firms.
There is often an assumption that having a practice management system means the firm is fully systemised. That is not the case.
Your software is designed to manage legal matters, not the business itself.
When there are no clear systems supporting the business, everything flows back to you. Decisions, approvals, questions, and problem-solving become your responsibility.
Over time, this is what makes growth feel increasingly difficult.
I break down the difference between managing legal work and running a business, and why implementing operational systems is what creates consistency, improves performance, and gives you greater control over your firm.
What We Cover
In this episode, I discuss:
Why practice management software is only one part of the picture
The gap between legal delivery and business operations
How SOPs remove decision pressure from the owner
Why teams struggle without clear systems
Where to start without overcomplicating it
What You’ll Learn
By the end of this episode, you will understand:
Why your firm still feels reliant on you
How systems improve team performance and accountability
What actually needs to be documented first
How to build structure without slowing your firm down

The Shift That Changes Everything
When your firm relies on you, growth increases pressure.
When your firm relies on systems, growth creates leverage.
That shift does not happen through software alone. It happens through clear, repeatable processes your team can follow without you being involved in every step.
If This Changed How You Think About Your Firm, Share It
If this episode resonated, share it with another law firm owner who is navigating team or salary challenges. These are the conversations most people avoid, but they are often the ones that create the biggest shift.

In this episode, I unpack a situation many law firm owners face but rarely talk about.
A team member asks for a pay rise at a time when the firm already feels stretched. What I have seen at Scalable Law is that these conversations are rarely about money alone. They highlight gaps in structure, expectations, and performance management.
I walk through how to approach these conversations in a way that is calm, structured, and grounded in data rather than emotion.
What We Cover
In this episode, I discuss:
Why pay rise conversations feel heavier than they should
The real issue behind most salary discussions
How to reframe conveyancers as revenue producers
Practical benchmarks for billing targets and file loads
How to remove subjectivity from salary decisions
Managing fairness across a small team
What to do when performance does not support a pay increase
What You’ll Learn
By the end of this episode, you will understand:
How to structure pay rise conversations with confidence
How to implement performance-based salary frameworks
What a realistic conveyancer workload looks like
How to reduce emotional decision-making in your firm
How to create clarity for both you and your team

Episode Summary
If someone searches for a lawyer today, the first thing they often see is not a website. It is a map showing three law firms with star ratings and review counts beside them.
For many potential clients, that is where the decision begins.
In this episode of the Scalable Law Podcast, I explain why Google reviews have become one of the most influential factors affecting law firm visibility and client trust.
Many law firms invest heavily in websites, branding and advertising, yet overlook a factor that is increasingly shaping how potential clients choose a lawyer.
That factor is Google reviews.
In this conversation, I walk through why reviews influence Google Maps visibility, how they shape client perception before a consultation even happens, and the practical steps law firms can take to build a strong and consistent review profile.
What We Cover
In this episode, I discuss:
Why Google Maps has become a starting point for many legal searches
How review volume, ratings and recency influence visibility in local search
Why many strong law firms remain difficult to find online
The role of Google reviews as modern digital word of mouth
A simple system law firms can implement to consistently generate reviews
I also explain why building a review strategy is less about marketing and more about creating a repeatable process inside your firm.
What You’ll Learn
By the end of this episode, you will understand:
Why Google reviews influence which law firms appear in local search results
How reviews shape client trust before the first consultation
The key review signals Google appears to prioritise
When the best time is to request a client review
How to build a simple workflow so reviews accumulate consistently over time
These insights can help law firms strengthen both their online reputation and their visibility to potential clients searching for legal services.

Episode Summary
Most law firms are busy. Many are generating revenue. But very few truly understand the numbers that actually drive growth.
In this episode of the Scalable Law Podcast, I break down the key metrics law firm owners should be tracking across three areas: client acquisition, team performance, and profit and loss.
When you understand the right numbers, growth becomes intentional rather than reactive. You move from guessing to leading.

Cost per enquiry and cost per client
Average matter value
Small improvements in conversion or pricing can significantly increase revenue without increasing marketing spend.

Episode Summary
In this episode of the Scalable Law Podcast, I share seven things I genuinely wish I had known before I started my law firm.
After building and running a practice for more than 12 years, navigating burnout, stepping into the CEO role, and ultimately selling my firm, I can now clearly see where I made things harder than they needed to be. These lessons are based on lived experience and are the same patterns I now see repeatedly through my work as a law firm coach.
If you are building, growing, or scaling a firm and want more profit and freedom, this episode will give you perspective on what really matters.
What You’ll Hear in This Episode
In this episode, I unpack:
Why revenue growth does not automatically create freedom
How you may be the biggest bottleneck in your own firm
Why systems reduce decisions, not control
The hidden cost of hiring without structure
Why pricing problems are often confidence problems
The difference between being busy and being productive
Why your law firm should support your life, not compete with it
These are foundational lessons that can change the trajectory of your firm if applied early.

Episode Summary
In this episode of the Scalable Law Podcast, I sit down with Amy Soong, Principal of Ashworth Lawyers, to talk about what it really looks like to step off the tools and lead a high-performing criminal law practice. Amy has built an exceptional reputation in Queensland over nearly two decades, yet like many firm owners, she found herself trapped in the workload.
In just a short time inside the Accelerator program, she shifted from being the main fee-earner to becoming the CEO of her firm and created enough space to launch a completely new business for the legal profession. We dive into that journey, the mindset shifts, the systems that made it possible, and the inspiration behind her new platform, Advisent, designed to connect clients with verified and experienced lawyers across Australia.
This conversation is packed with practical insight for any lawyer who wants more freedom, better leverage, and a business that no longer relies on them to survive.
What You’ll Hear in This Episode
How Amy stepped back from daily file work without compromising quality She walks through the shift from “doing everything” to leading a team of senior criminal lawyers confidently handling the firm’s matters.
Why building the right team was the turning point We explore how experienced lawyers, clear systems, and collaborative processes allowed her firm to run smoothly, even when she’s not in court.
What sparked the idea for Advisent Amy shares her vision for solving a real gap in the market: helping clients book verified, experienced lawyers while giving law firms a low-risk way to attract high-quality leads.
How expanding your marketing channels reduces cashflow stress We discuss why relying on referrals or one marketing method is no longer enough and how platforms like Advisent can boost visibility and SEO.
The importance of community and connection for law firm owners Amy explains how events like Law Biz Con helped her find a trusted network of peers who openly share strategies, challenges, and wins.

Episode Summary
In this episode, I sit down with Jack Newton, Founder and CEO of Clio, during his visit to Australia for Clio Innovate Legal Day. Fresh off the energy of ClioCon in Boston, Jack and I dive into what’s shaping the future of legal tech, the cultural foundations that have made Clio a global standout
, and the shifts he’s seeing in the Australian legal market.
We talk about leadership, AI, firm growth, and why Australian lawyers are uniquely positioned to take advantage of the biggest legal tech opportunities unfolding right now.
This one is packed with insights, perspective, and a few moments that genuinely made me rethink what’s possible for law firms in Australia.
What You’ll Hear in This Episode
1. How Clio Built One of the Strongest Cultures in Legal Tech
Jack breaks down the values-driven approach Clio has held since 2008 and how it shapes hiring, leadership, innovation, and customer experience.
2. Why Clio’s No Lock-In Contract Model is a Gamechanger for Lawyers
A practical look at why monthly subscriptions matter and why law firms deserve true flexibility, especially when scaling.
3. The Real Scale of Clio (Spoiler: It’s Huge)
We talk global reach, revenue, employees, and Clio’s billion-dollar legal AI acquisition that has the entire industry talking.
4. Why Australia Is One of the Most Advanced Legal Tech Markets in the World
Jack shares what he’s observed about Australian lawyers, tech adoption, and the appetite for better practice management solutions.
5. The Access-to-Justice Gap and the Opportunity Ahead
A candid discussion on the 77 percent of legal needs currently not served and how AI, cloud technology, and better systems can transform that reality.
6. What Clio Is Building Specifically for the Australian Market
From trust accounting to compliance to a growing team on the ground, Jack shares what’s coming next.
My Key Takeaways for You
Law firms with strong systems win.
Jack’s insights confirmed what I see every day inside Scalable Law. The firms that grow fastest aren’t the ones that grind the hardest, but the ones that adopt modern systems and tools early.
Culture isn’t fluff. It’s a growth driver.
Hearing how deliberate Clio is with culture reminded me how important it is for law-firm owners to lead with clarity and values.
Australia is ready for a tech shift.
The hunger for alternatives, better user experience and flexibility is real. If you’re thinking about modernising your firm, this is the moment.
Data portability is non-negotiable.
Jack’s stance on lawyers owning their data is refreshing. It reinforces that practitioners should never feel trapped by their software.
Community matters.
Legal tech is no longer just about tools. It’s about joining a community of people who want to practise law in a smarter, healthier way.

Episode Summary
Building and scaling a law firm isn’t just about winning more clients or hiring more staff, it’s about creating consistent, predictable visibility in your market. And the easiest way to do that is through organic marketing.
In this episode of the Scalable Law Podcast, Caralee dives into what organic marketing actually involves, why it’s the most underused growth lever in the legal industry, and how it can set your firm up for long-term success.
Most law firm owners overlook organic marketing because it doesn’t deliver overnight results, but it does deliver lasting ones. With the right strategies, you can build a powerful presence that generates leads 24/7, positions you as the go-to expert, and fuels your revenue growth without burning cash on ads.
What You’ll Hear in This Episode
What organic marketing is and why it matters for law firms
The key organic channels that drive consistent client enquiries
Why organic strategies build long-term momentum that compounds
How to start implementing organic marketing with simple, weekly actions
How strong organic marketing boosts the ROI of your paid campaigns
My Key Takeaways for You
Organic marketing is the lowest-hanging fruit for law firms because it uses assets you already have such as your website, expertise, and relationships — rather than relying on a large ad budget.
Content created now can keep attracting clients for years, creating compounding returns over time.
It builds trust and positions you as an authority, which increases conversion rates and reduces the need for “hard selling.”
A strong organic presence makes any future paid ads perform better by improving brand awareness and trust.
Start small and stay consistent: optimise your website, update your Google Business Profile, post weekly, and nurture your email list.

Episode Summary
Building and scaling a law firm isn’t just about attracting clients and delivering legal work. It is also about having the right people in the right roles. In this episode, I talk about the EOS® principle of Right People, Right Seats and why it is such a powerful tool for law firm owners.
I’ll walk you through how to evaluate your team using three simple questions, the importance of clear reporting lines, and what happens when the firm owner is not in the right seat. If you have ever felt like your team structure is holding you back, this episode will help you see where the gaps are and how to fix them.
What You’ll Hear in This Episode
What “Right People, Right Seats” means in a law firm
The three questions to ask about every role: Get it, Want it, Capacity
How accountability charts prevent bottlenecks
Why values matter more than skills when choosing the right person
When the owner is not the best person for a particular role
How we use this exercise inside the Accelerator program
My Key Takeaways for You
You don’t need to do everything at once. Growth is about doing the right things for the stage you’re in.
A $300k firm doesn’t need executive dashboards, and a $3M firm shouldn’t be operating off spreadsheets.
When you know where you are on the roadmap, you can make decisions with confidence, reduce overwhelm, and build a firm that gives you freedom as well as profit.

Episode Summary
When I first started my firm, I had no roadmap. I worked hard, said yes to everything, and pushed forward with trial and error. Looking back, I wish I had a clear framework to show me where to focus and what systems to build at each stage.
That’s exactly why I created the Law Firm Roadmap. In this episode of the Scalable Law Podcast, I’m sharing the five stages of growth that every law firm goes through, the challenges you’ll face at each stage, and the systems, people, and strategies you need to move forward with confidence.
What You’ll Hear in This Episode
The five stages of law firm growth I’ve identified through my own experience and coaching hundreds of firm owners: Startup, Survival, Stability, Scale, and Success.
Why every stage has its own challenges — and how knowing your stage helps you focus on the right priorities.
The five pillars of growth I guide my clients through: attracting clients, numbers & pricing, systems & processes, team & people, and legal service delivery.
How I navigated these stages myself, including the systems that saved me time, the hires that transformed my firm, and the shifts in mindset that kept me moving forward.
Why trying to “jump ahead” is one of the biggest mistakes firm owners make — and how to avoid it.
My Key Takeaways for You
You don’t need to do everything at once. Growth is about doing the right things for the stage you’re in.
A $300k firm doesn’t need executive dashboards, and a $3M firm shouldn’t be operating off spreadsheets.

Episode Summary
In this episode of the Scalable Law Podcast, I’m joined by my good friend and past Accelerator member, Kristen Porter. Kristen is the founder of Oh No Legal, a law firm that grew nationally during the COVID years, and more recently, she launched Zenovate Marketing, a digital marketing agency built specifically to help law firm owners grow.
Kristen shares her journey of starting her firm out of necessity, why she chose to niche down into the real estate industry, and how that decision not only made her practice easier to run but also made her marketing more powerful. We also talk about the frustrations law firm owners face when outsourcing marketing, and why she created Zenovate to be a trusted solution that understands the legal profession.
If you want to hear how niching, list building, and smart digital strategies can change the game for your firm, you’ll love this conversation.
What You’ll Learn in This Episode
Why Kristen decided to start her own law firm and how it grew quickly through digital marketing
How list building, webinars, and lead magnets transformed her pipeline without relying on referrals
Why niching made her law practice easier to run and more profitable
How different client personalities within one niche call for different service models
What led Kristen to launch Zenovate Marketing and why law firms need marketing support that actually understands the profession
The importance of deep brand positioning and copywriting for law firm growth and freedom
Quotes from the Episode
“Our law firm growth is totally dependent on our digital marketing. For a long time, we didn’t even use paid ads, we built everything through organic list building and partnerships.”
“Nicheing makes everything easier. Your practice becomes smoother, your marketing clearer, and other professionals see you as the expert.”
“Copy is what converts. Your logo and design make you look professional, but the words you use are what actually bring in the right clients.”

Episode Summary
Bringing a new team member into your law firm should make life easier — not harder. Yet for many law firm owners, onboarding turns into an exhausting cycle of explaining, fixing, and micromanaging. The real problem? You’re running your business from your head, not from systems.
In this episode, I’m breaking down why skipping documented processes in onboarding is one of the biggest mistakes law firm owners make, how it creates bottlenecks, frustrates your team, and keeps you stuck working harder than you should.
I’ll also walk you through the exact steps to fix it so you can create a clear, confident, and repeatable onboarding experience — one that empowers your team and frees up your time.
Key Segments
The onboarding trap most law firm owners fall into
Why “just follow me and watch” is not a strategy
The hidden cost of keeping processes in your head
My 3-step system to onboard without the chaos
How systemised onboarding improves culture and profitability

My Takeaway
The truth is, your law firm doesn’t grow by adding more hours to your week — it grows when you build systems that work without you.
Document your core processes. Set crystal-clear expectations. Train, then trust. That’s how you stop being the bottleneck and start leading a team that can thrive on their own.

Episode Summary:
Let’s be real. Running a law firm can feel like an emotional rollercoaster. Some mornings, I walked into the office feeling confident and strong. Other days? Total imposter syndrome. In this episode, I open up about the inner battles I faced as a law firm owner and how mindset—not marketing, not systems—was the biggest thing holding me back.
I talk about the strongholds we carry as business owners. The beliefs that sound logical but keep us small. “If I don’t do it, it won’t get done right.” “I’ll never find good staff.” “I’m just not good at marketing.” Sound familiar?
This episode is about breaking those beliefs and taking back control so you can scale without sacrificing your sanity.
Key Segments:
The real reason I didn’t feel confident, even after 15 years in practice
When working harder stopped working
The most common mental strongholds I see in law firm owners
The Thought Audit: a simple but powerful mindset tool
Why action—not affirmation—is what rewires your thinking
A client story that proves your beliefs can shift everything
If your business is moving in the direction of your strongest thoughts… where is it going?
My Biggest Takeaway:
Your business will never outgrow your mindset. When I finally challenged the stories I was telling myself—and started acting like the leader I wanted to become—that’s when everything changed. It wasn’t easy. But it was worth it.

Episode Summary
In this episode of the Scalable Law Podcast, I share one of the biggest challenges law firm owners face: how to let go without losing control. If you’ve ever felt like your firm can’t run without you—approving every bill, answering endless team questions, and constantly putting out fires—this episode is for you.
I dive into why holding on too tightly will keep you stuck and how you can start creating a business that runs smoothly without you micromanaging every single detail. From building the right team to implementing systems and processes, I show you the practical steps that transformed my law firm and have helped many others do the same.
Key Segments
Why Letting Go Feels Impossible – The emotional and practical reasons law firm owners resist delegating.
The Hidden Cost of Control – How holding on to everything yourself turns you into the bottleneck.
The Power of Teams and Systems – Why having the right people in the right seats and well-documented SOPs is the real key to scaling.
Creating a Law Firm That Runs Without You – How I went from chaos to clarity in my own firm and how you can do the same.
Your Next Step – Why this is a gradual process, but one that will give you freedom, profit, and peace of mind.

You can step back, focus on leading instead of firefighting, and finally have the freedom you wanted when you started your practice.

In this episode of the Scalable Law Podcast, I dive into a game-changing topic that comes up time and time again with the firm owners I coach: When is the right time to hire a practice manager in a law firm, and what kind of impact can they have on your growth and operations?
If you’re constantly fielding team questions, managing leave requests, approving every invoice, or buried in admin instead of focusing on strategy, it may be time to level up your law firm management. Hiring a skilled practice or operations manager could be one of the most pivotal decisions you make to scale effectively and reclaim your time as the business owner.
Episode Summary
In this episode, I share exactly when I believe it’s the right time to hire a practice manager in a law firm—typically when your revenue is in the $500K to $1M range. I break down the key responsibilities they can take off your plate, how this hire supports stronger law firm management, and how bringing in the right person allowed me to step back from the day-to-day of running my own firm.
You’ll learn how to spot the signs that you're overdue for this game-changing hire—and what to look for in a practice manager who can help your firm grow without you becoming the bottleneck.
Key Segments
When to Hire a Practice Manager in Your Law Firm
Thinking about hiring a practice manager? If you're hitting growth ceilings or drowning in daily operations, it might be time.
Signs It’s Time to Hire:
You're no longer the best person to handle day-to-day law firm management.
You’re overwhelmed, juggling people, clients, admin, and operations.
You're ready to scale, but need leadership support to do it sustainably.
What a Practice Manager Actually Does
A great practice manager in a law firm isn't just admin support—they’re your operational engine:
Team Management: Handles HR, recruitment, performance reviews, and team check-ins.
Client Experience: Improves intake processes, addresses complaints, and maintains service standards.
Systems Oversight: Manages software, streamlines workflows, and ensures compliance.
Operations & Admin: Takes care of invoicing, reporting, supplier management, and more.
Leadership Support: Acts as your second-in-command, solving issues before they hit your desk.
The Real Impact for Law Firm Owners
Bringing in a practice manager creates space for growth and clarity:
More time for strategy, vision, and high-value work
Freedom from operational distractions and stress
A scalable team structure with stronger accountability
Better culture, performance, and profit
Who to Hire
When hiring for this critical law firm management role, look for:
Strong leadership and operations experience
A proactive, solutions-first mindset
Confidence to manage up—not just follow instructions
Law firm experience is a bonus, but not mandatory
Hiring a practice manager could be the most important step you take to scale your firm without burning out. Think of them as the engine that powers your growth while you lead from the front.
Takeaway
Hiring a practice manager in my law firm was one of the most pivotal decisions I’ve made. It completely transformed how I operated, freeing up my time, clearing mental clutter, and allowing me to shift from being stuck in the day-to-day to focusing on real law firm management and growth.
If you’re buried in admin, constantly putting out fires, and craving more freedom and sustainable progress, this is the strategic hire that can move you from overwhelmed to in control.

In this episode of the Scalable Law Podcast, I explore one of the most powerful tools for law firm management and long-term growth: Standard Operating Procedures (SOPs).
If you’re looking for a sustainable way to grow your practice, reduce overwhelm, and delegate with confidence, this episode is for you. Most law firms rely heavily on their practice management software—but without the right law firm SOPs, your systems are incomplete. SOPs are what create consistency, improve onboarding, and ultimately allow you to scale your law firm without it depending solely on you.
Key Segments
Understanding What Law Firm SOPs Actually Are
SOPs are step-by-step documented processes that outline how tasks are completed in your law firm. While software like LEAP or Smokeball helps manage day-to-day operations, it’s your SOPs that provide the structure and direction your team needs to use those tools effectively.
The Cost of Operating Without SOPs
Without documented SOPs, your firm relies too heavily on individual memory and inconsistent training. This leads to inconsistent service delivery, bottlenecks, and team burnout. SOPs are essential to reduce risk, improve performance, and ensure business continuity when key team members are absent or move on.
The Areas in Your Firm That Need SOPs
SOPs shouldn’t just exist for legal work—they’re critical across all departments. From opening and closing files, billing and trust accounting, to handling client intake, social media, HR onboarding, and document processing, every part of your practice needs structure to scale sustainably.
Why SOPs Are Essential to Scaling a Law Firm
SOPs allow you to create consistency, reduce duplication, and delegate tasks without confusion. They support faster onboarding, improve team accountability, and give you the freedom to step back from the day-to-day without quality slipping. When it comes to how to scale a law firm, SOPs provide the operational backbone that allows growth without chaos.
How We Help Law Firm Owners Build SOPs
Inside the Scalable Law Accelerator, we work closely with law firm owners to create SOPs that support high-performing teams and smooth internal operations. We provide templates, training, and support to roll out SOPs across every area of the business—helping you move from reactive to strategic.
Your Next Step to Systemise and Scale
If your law firm is still relying on informal processes or ad-hoc communication, start by documenting just one core task this week. Whether it’s onboarding a new client or preparing a brief, take the first step in building a firm that runs on systems, not people.
My Takeaway
Building a scalable law firm doesn’t start with flashy software or hiring more people—it starts with clarity. And clarity comes from systems. What I’ve seen time and time again is that law firms that invest in creating and implementing law firm SOPs grow faster, experience less chaos, and give their owners more freedom.
If your firm still relies on memory, verbal instructions, or "how we've always done it", you're holding back your potential. Documented systems don’t restrict you—they liberate you.
SOPs are what allow you to lead, not just manage.

Episode Summary:
Running a law firm shouldn’t mean sacrificing your time, your profit, or your peace of mind. In this solo episode, I break down the Law Firm Freedom Audit—a proven diagnostic tool designed to help law firm owners identify exactly where their practice is leaking time, profit, or control.
Whether you’re deep in the trenches or already on your growth path, this episode will help you uncover hidden inefficiencies and give you a clear roadmap toward building a scalable, sustainable firm.
Key Segment: Understanding My Freedom & Profit Score
When I took the Law Firm Freedom Audit, I realised the number I got wasn’t just a score—it was a mirror. It reflected how sustainable, profitable, and scalable my law firm really was. Here’s what I learned about what each score range means:
110–140: The Scalable Zone
I’ve built something solid. The systems are working, the team is in sync, and best of all—my business doesn’t depend solely on me anymore. There’s freedom here, and it feels good.
Next move: Now’s the time to scale with intention. The foundation is set—it’s time to go bigger, smarter.
85–109: A Solid Start, But Still a Bit Scrappy
Things are moving in the right direction, but I can feel where the cracks are. A bit of stress creeps in, and profits don’t quite match the effort I’m putting in. It’s frustrating, but fixable.
Next move: I need to step back, identify what’s slowing me down—whether it’s clunky systems, role confusion, or missed opportunities—and start tightening things up.
60–84: I’m the Operator, and It’s Wearing Me Down
Let’s be honest—if I take a break, everything pauses. I’m juggling too much, and it’s exhausting. The business works, but only because I’m pushing hard behind the scenes.
Next move: This is my sign to stop doing it all myself. I need to delegate, build systems, and make the shift from being the operator to becoming the owner.
Below 60: This Is My Wake-Up Call
If I’m here, I already know things aren’t working. I’m doing everything and burning out fast. Profits are thin, and there’s no structure holding things together. Growth? It feels out of reach right now.
Next move: I need to pause. Reassess. And rebuild—with purpose. This isn’t failure—it’s a signal that something needs to change, for me and for the future of my firm.

Why staying in “operator mode” is holding your firm back from real growth
